COABE will draw a name from all volunteer participants for the chance to win a $500 Amazon e-gift card. The drawing will be done after the conference and the winner will be contacted by email and announced in our weekly newsletter.
Volunteers are invaluable to the COABE Conference model. We are so grateful you have agreed to be a volunteer for COABE 2023! This reference guide has been developed to help you understand the various roles that volunteers play in creating a successful conference. Bag Assembly – Volunteers meet Saturday, April 1st, from 1:00pm-5:00pm, in room M201, in the Atlanta Marriott Marquis. You will be placing Conference programs and notices into the Conference bags. This requires many volunteers as each attendee will receive a bag.
Lead Volunteer – There will be a lead volunteer in the conference hotel near the Imperial Ballrooms at the registration counter. They will support the session facilitators should anything come up, as well as assisting the participants in locating their session.
Session Facilitator – The session facilitator should arrive in the designated area 15 minutes before the session starts. They will check all sessions to make sure the presenter is present. They will relay urgent issues to the lead volunteer who will have the ability to summon help. They will greet attendees as they enter the area.
AV/Technology Assistant – Technology assistants are responsible for assisting the presenters and the staff with technology issues. At least one of these volunteers is on duty throughout the Conference.
App Ambassador – App ambassadors help attendees with the COABE App. They wear buttons for identification. They have no specific assignment times.
Event Door Greeter – Greeters should position themselves at the doors of the events to welcome attendees as they enter. Some events will require tickets that must be collected by the greeters at the door.
Event Setup Assistant – Event setup assistants help with setting up prior to luncheons and special events. The timing of the schedule for these volunteers is 30 minutes prior to events.
Transportation Coordinator – Transportation coordinators help attendees with ground transportation to offsite events. They will take the last bus to the event. At the end of the event, they will make sure all attendees board the buses to return to the hotel. They will then take the last bus returning to the hotel.
Exhibit Assistant – Exhibit assistants provide assistance to the vendors as needed. The volunteer should make periodic tours of the Exhibit Area to make sure everything is fine.
Booth Attendants (COABE) – Booth attendees staff the booth to provide assistance and promote membership. Typically, a current or former COABE board member fills this role.
